Privacy Policy

Last updated October 15, 2026. This policy explains how the Northern Virginia Academy of Ophthalmology ("NVAO," "we," "us") handles information collected through nvaomd.org.

Information we collect

We collect information you voluntarily provide when you contact us by email. Visitors may submit membership applications through our application form provider or register for events through partner registration pages. Information submitted this way may include your name, email, phone, professional credentials, and practice details. We also collect limited technical information automatically, such as IP address, device and browser type, referring URL, and pages viewed.

How we use information

  • To respond to inquiries and provide member services.
  • To review membership applications and coordinate event participation.
  • To send event, educational, and organizational updates.
  • To maintain site security and improve our content.

Cookies and similar technologies

We do not use analytics, advertising, or tracking cookies. Our hosting and security providers may set essential cookies required to deliver and protect the website. If you use our Do Not Sell or Share page, your preference is saved in your browser's local storage. Where applicable, we honor browser-based privacy signals including Global Privacy Control (GPC) as a valid request to opt out of any sale or sharing of personal information.

Third-party services

We rely on a small number of vendors to operate this site. These providers process limited data on our behalf under their own privacy terms:

  • Website hosting provider (hosting, content delivery, and server functions), including Cloudflare security services, which set a short-lived essential cookie (__cf_bm) to protect the site against automated traffic. Hosting providers also process IP addresses and standard technical logs.
  • Tally (membership application forms), which collects the information you submit under its own privacy terms.
  • VSEPS / Wild Apricot (event registration pages linked from this site), which collect registration information under their own privacy terms.
  • Email providers used to deliver messages you send to contact@nvaomd.org.

We do not sell personal information and we do not share it with third parties for cross-context behavioral advertising.

Your rights

Depending on your jurisdiction, you may have the right to access, correct, delete, or port your personal information, and to opt out of any sale or sharing. To exercise these rights, see our Do Not Sell or Share My Personal Information page or email contact@nvaomd.org. We recognize Global Privacy Control as an opt-out signal.

Health information

NVAO is a professional society and does not provide medical care. We do not collect protected health information (PHI) through this site. Please do not submit patient information via our forms or email.

Data retention and security

We retain information for as long as needed to provide services and to meet legal, accounting, or reporting requirements. We use reasonable administrative and technical safeguards to protect the information we hold; no method of transmission over the Internet is fully secure.

Children

This site is intended for medical professionals and is not directed to children under 13. We do not knowingly collect information from children.

Changes to this policy

We may update this policy from time to time. The "Last updated" date above will reflect the most recent revision.
